A DAY IN THE LIFE
Provide proactive, high-quality administrative and operational support to both local and national teams
Manage incoming mail and packages (USPS, FedEx, UPS); sort, distribute, and send outgoing deliveries
Serve as the first point of contact for guests and visitors — greet clients warmly, offer hospitality, and ensure they are directed appropriately
Maintain a welcoming, well-stocked, and tidy office environment — including ordering and managing snacks and kitchen supplies as well as general office supplies.
Support the onboarding process for new employees and help them feel right at home
Coordinate and schedule meetings, manage shared calendars, and organize room reservations
Maintain and update company-wide records such as internal directories, office phone lists, and calendars
Manage communication from building management and distribute relevant updates to the appropriate teams
Track and route website inquiries and contacts to the correct department leads
Conduct light internet research and compile data for reports, lists, and project needs
Assist with planning and executing team socials, trainings, vendor lunches, and corporate/client events
Prepare materials for meetings and training; including scheduling, handouts, lunch coordination, and logistics
Provide support on internal projects and cross-functional initiatives as needed
Provide light marketing support by engaging with company social media posts and creating simple new hire welcome graphics for communications.
Deliver clerical support including scanning, mailing, copying, and organizing documents for leadership and project teams
Anticipate office needs and ensure supply inventories are stocked and efficiently managed
NECESSARY QUALIFICATIONS
Exceptionally organized, detail-oriented, and proactive with a self-starter mindset
Able to manage multiple tasks efficiently
Strong written and verbal communication skills with a professional and friendly demeanor
Skilled at taking direction, prioritizing responsibilities, and following through on tasks
Comfortable working independently and collaboratively in a fast-paced team environment
Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); tech-savvy and quick to learn new tools; experience with Canva or Adobe Creative Suite preferred
High school diploma or equivalent required; associate or bachelor’s degree preferred
Administrative training or prior experience is a plus
A positive, can-do attitude with a genuine willingness to learn and grow
